What does a systems engagement include? At Avad Shamar Creative, systems work covers workflow strategy, customer journey design, automation builds, applied-AI implementation, and team training: delivered by configuring the tools you already use, or should be using. The goal is operational: excellent work made repeatable, so growth stops depending on heroics.
01 · The Problem
The symptoms are operational. The cause is structural.
Most leaders feel a systems problem long before they name it. The work is still excellent. It just costs more every month to keep it that way.
Every critical process lives in someone's head: usually yours.
Two clients can get two different experiences, depending on who answered.
Hours go to copy-paste work between tools that were never introduced to each other.
Follow-up runs on memory, so it happens when memory does.
Each new hire slows the team down before speeding it up, because nothing is written down.
Busy seasons cost you quality, because quality still depends on attention no one has left.
None of this is an effort problem. It's what happens when growth outruns the operation underneath it, and the fix is built, not hired.
02 · What's Included
What's included in a systems engagement?
This is the systems track of our Marketing & Systems practice: scoped on its own, or alongside marketing and communications work when the two belong together. It's the operational layer that decides whether growth compounds or exhausts.
Workflow strategy
We map how work actually moves through your organization, not how the org chart says it does, then decide together what gets standardized, what gets automated, and what stays deliberately human.
Journey design
The path a client, donor, or member travels from first touch to follow-through, designed on purpose so no one falls into a gap between tools or teammates.
Automation builds
The platforms you already run, connected and configured so routine handoffs, reminders, and records happen without anyone touching them.
Applied-AI implementation
AI put to work on specific toil (drafting, sorting, summarizing, routing) where it measurably gives a small team more capacity, and nowhere it doesn't.
Team training
The people who run the system learn it, with documentation the next hire can learn from too. A system your team can't run isn't finished.
A note on scope, honestly. We deliver at configuration level (proven platforms, connected and configured well) not custom software development. When an engagement genuinely requires custom engineering, we say so and help you find the right kind of partner rather than stretch our scope.
And when a vision eventually calls for custom software beyond what configuration can deliver, Avad Shamar Tech, a future division of Avad Shamar Co., is being built to take on exactly that work.
The same sequence that builds brands builds operations.
01
Discern
A systems audit: how work moves today, where it stalls, and which gaps cost the most hours, so we build against the real bottleneck, not the loudest one.
02
Design
Workflows, journeys, and the automation map on paper first, with the reasoning shown: what gets standardized, what gets automated, what stays human.
03
Build
Configuration, integration, automation builds, and applied AI: implemented and tested against real work, not demo data.
04
Steward
Documentation, team training, and a handoff your team can run without us, with advisory if you want us to stay close.
A typical systems engagement runs 6–12 weeks per scoped system. Scope is set in Discern: one clearly bounded system, built and running, before the next one starts.
A system is proof you can read: the workflow before, the workflow after, and the hours between them.
Systems, Automation & Applied AI · Ministry
Turning a reactive marketing department into an operating system.
Problem
Requests arrived through five channels, approvals lived in one person's head, and quality depended on who happened to be available.
Move
Designed a value-based operating model and role-based team, a tiered request engine in Asana (one front door, six request types, four tiers), a recognition program, and an internal hub with a two-zone reports center.
Outcome
One submission now produces the full bundle of dependent work, routed and scheduled, for a department serving more than forty ministries.
Led by Miracle Ennis in her role as Marketing Director, United Christian Faith Ministries.
One front door in Asana: a request arrives, gets a type, a tier, and an area, and the rules attach the dependent subtasks and route them to the right board. The diagram is part of the deliverable: the difference between “we automated some things” and an operation a new teammate can learn in a week.
We use what we build. This practice runs on the same kind of system it sells: a single intake form, a scheduling portal, automated confirmations, a documented handoff for every engagement, and applied AI used for research and first drafts under a named human editor. When a tool stops earning its place, it goes.

05 · Questions
Questions leaders ask about systems and AI.
What do you mean by applied AI?
AI put to work inside a specific workflow (drafting, sorting, summarizing, routing) using capable existing tools, and measured by the toil it removes. We implement it in service of your strategy and your team's capacity, not for novelty. If AI isn't the right tool for a given problem, we'll say so.
Do we need custom software for this?
Usually not. Most growing organizations get what they need from proven platforms configured well and connected properly. That's the level we deliver at. If your project genuinely requires custom software development, we'll tell you plainly rather than stretch the scope.
How long does a systems engagement take?
A typical engagement runs 6–12 weeks per scoped system. The Discern stage sets the scope: one clearly bounded system, built and running, before we take on the next one.
Will our team be able to run this without you?
That's the test we build against. Every engagement ends in the Steward stage: documentation, team training, and a handoff designed so the system survives staff changes and busy seasons. If you want us to stay close after launch, an Advisory Partnership covers exactly that.
Sustainable growth is a systems decision.
Tell us where the operation strains (what breaks in busy season, what lives in one person's head) and we'll come back with an honest read on which system to build first.
